How we collect reviews

At Beyond Encryption Limited (“Beyond Encryption”, “we”, “our”, or “us”), we take trust and transparency seriously. This page explains how we collect, curate and use reviews and testimonials about our technology products, including Mailock, and where incentives may be involved.

Our aim is to provide accurate, honest feedback from real users so that prospective and existing customers can make informed decisions. We do not knowingly publish content that is misleading, fraudulent or materially inaccurate.

1. The types of reviews we use

We may display reviews, testimonials and feedback about our products and services in a range of places, including:

  • our website and related pages;
  • marketing materials, such as brochures, presentations and emails;
  • social media;
  • event and webinar materials; and
  • sales and customer communications.

These reviews may come from a number of sources, including:

  • post-support feedback surveys;
  • case studies and direct customer interviews; and
  • third-party review platforms, such as G2, Capterra and Software Advice.

2. Feedback collected after support interactions

After a user interacts with our support team, we may invite them to complete a feedback survey. These surveys help us understand:

  • how well an issue was resolved;
  • where our service can be improved; and
  • what aspects of the product or support experience are working well.

Comments and ratings submitted through these surveys may be used in anonymised form as reviews or testimonials. Where we do so, we may make limited edits for clarity, length, spelling or formatting, while preserving the original meaning and sentiment. We may also remove personal data, sensitive information or details that could identify an individual or organisation where this is appropriate.

We do not routinely describe every support survey response in the same way, and the format in which feedback appears may vary depending on where it is published.

3. Case studies and direct customer interviews

We also collect reviews and testimonials through case studies, customer interviews and other direct conversations with users of our products and services.

These may be gathered through:

  • written questionnaires;
  • email exchanges;
  • video or phone interviews; or
  • follow-up discussions after implementation, onboarding or key milestones.

Because these activities can require more time and input, we may in some cases offer a small token of appreciation for participation, such as:

  • a modest shopping voucher; or
  • a small discount on a subscription.

Any such gesture is intended to recognise the time involved in contributing to a case study or interview. It is not intended to influence the substance of the feedback provided. Participants are encouraged to share their genuine experience, whether positive, mixed or critical.

We may edit case study content for clarity, structure, length, confidentiality and house style, while seeking to preserve the substance of the participant’s views.

4. Reviews from third-party platforms

We may also collect, reference or display reviews from independent third-party review platforms, including:

  • G2;
  • Capterra; and
  • Software Advice.

These platforms operate independently from Beyond Encryption and apply their own terms, review policies and moderation processes.

Some third-party platforms may offer reviewers a small incentive for their time, such as a shopping voucher or gift card, typically in the region of £10 to £50. These incentives, where offered, are managed by the relevant platform and not by Beyond Encryption.

As a result:

  • some reviews displayed on our website or elsewhere may have been incentivised by the third-party platform;
  • we may not always know whether a specific reviewer received a platform-managed incentive; and
  • we do not control how those platforms invite, verify, moderate or reward reviewers.

We reference these reviews to provide broader visibility of customer feedback from recognised software review sites, but we do not control the way those platforms operate.

5. Our position on incentivised reviews

We believe it is important to be transparent that some reviews we display or refer to may have been linked to a modest incentive, whether through:

  • participation in a case study or customer interview;
  • a small subscription discount;
  • a low-value voucher; or
  • a third-party platform’s own reviewer incentive programme.

Where incentives are involved, they are intended as a gesture in recognition of a reviewer’s time and effort. They are not intended to purchase favourable opinions or prevent honest criticism.

Our approach is guided by the following principles:

  • feedback should reflect the reviewer’s genuine experience;
  • incentives, where offered, should be modest and proportionate;
  • reviews may be edited for clarity or presentation, but not in a way that changes their essential meaning; and
  • we aim to present customer feedback in a fair and transparent way.

6. Third-party reviews and our level of control

Where reviews appear on third-party platforms or are republished from them, it is important to understand the limits of our control.

We do not control:

  • how third-party platforms collect reviews;
  • which reviewers they contact or accept;
  • whether and how they choose to incentivise reviewers; or
  • how they display, rank or summarise review content.

We may choose to highlight or embed reviews from those platforms in our own materials, but this does not mean we control the collection process behind them. This page is intended to make that distinction clear.

7. How we present reviews

When publishing reviews, testimonials or excerpts, we may:

  • publish them anonymously or in attributed form, depending on the context;
  • shorten them for readability;
  • correct spelling, punctuation or grammar;
  • remove sensitive, confidential or identifying information; and
  • group or present them alongside other feedback for context.

Unless clearly stated otherwise, reviews reflect individual experiences and opinions. They should not be interpreted as guarantees that every customer will have the same experience.

8. Why we have created this page

We have created this page to be clear that some reviews we display on our website and in other materials may have been incentivised with a small voucher, discount or similar low-value reward.

We believe that transparency matters. Our intention is to give customers and prospective customers a clearer understanding of where reviews come from, how they may have been collected and the extent to which third parties may be involved.

While methods of collection can differ, we aim to present feedback honestly and in good faith, without misrepresenting the nature of the reviewer’s experience.

9. Changes to this page

We may update this page from time to time to reflect changes in how we collect, use and present reviews, or to reflect changes in third-party review practices.

By publishing this disclaimer, we aim to provide a transparent explanation of how customer reviews relating to Beyond Encryption and our products may be collected, displayed and, in some cases, incentivised.
